Midlands Hotels preferred and a WOW factor property for the big company conference , due to delegates coming from throughout the UK therefore needed
a central location . 3 properties proposed and also visited by the client , this was then decided by the client which property would be suitable.

In total Portman saved the company a total of £20,875.50
As a result, the event came in under the agreed budget and as you witnessed, Portman's efforts helped to make the conference a great success.

Client Brief: -
Meetings to be held nationwide for 350,000 delegates over 9 months for the implementation of a new product to sell.
Strict deadlines to meet while sourcing and confirming the events to ensure success, plus fixed budgets to meet for all of the meetings due to the high volume, added value from the venues used were of paramount.
Venue sourced: -
The project was broken down into 3 stages, the first consisted of sourcing and booking meetings for the trainers the second to source and organise venues for the delegates to be trained the finial stage was to book venues for the mop up of the project. 17 meetings a day took place across the country each with 15-20 delegates per meeting. Specific requirements and quality control checks were carried out daily to ensure the events run smoothly with each venue booked. Accommodation was also booked for each meeting for the majority of delegates who attended.

Added Value in time & Savings: -
Portman was asked to quote for this as a special project as the customer had 6 months before organised this event themselves and had to cancel as part of their product was not ready to launch they were left with full cancellation charges. As part of our agreement we were asked to bench mark against their previous rates and were target to reach between 10% to 20% target. We exceeded the 20% target and in fact made savings of over 22%. Time factor was that as this project was so vast, a full quality control of rooming lists and room set ups were done each morning, so that the trainers could concentrate on the courses.

Clients wanted to establish an employee awards scheme to encourage and reward best practice in the work space.
Employee service level targets were set and 3 award levels were put in place.
Proposal offered and accepted: -
3 award levels all with the option of pre or post extensions at employees own expense.
Top award: 100 employees: A luxury all expenses paid overseas trip for 4 – 5 days - a WOW factor. Fully inclusive of flights, luxury transfers, luxury hotel, all meals including gala dinner and awards presentation, full excursion program.
Runner up awards: 30 employees: A two night city break in Europe – Fully inclusive of flights, transfers, hotel and excursion program.
Top Branch award: Up to 24 employees: A night out on the town with dinner and a top theatre performance.
Award Management: -
Jointly managed by Portman Corporate Leisure and Incentives and the Building Society’s in house events team. This employee awards scheme has now been operated successfully for 6 years. Award destinations to date include: New York, Las Vegas, Barbados,
(repeated due to popular demand from the workforce) and Dubai, London, Barcelona and Dublin.

The client places great emphasis on post trip questionnaires with the intention of improving the experience for the following years’ award. The overall score for any individual trip has not fallen below 98% and all employees work to maximum ability towards their coveted place on the following trip.
